Using Your Patient's MedKaz
You can access all the tables and records on your patient's MedKaz. You can sort, search and read the documents on it, and view the contents of the various tables. However, you do not have a Patient Record Manager (PRM). Thus, you cannot take actions, such as saving an Encounter Summary to the PRM so you can finish it later. Your only choice is to complete it while your patient is in your office; then click Done to save it on their MedKaz.
Here is how to use your patient's MedKaz.
Step 1: Read the other documents waiting for you in the Document Viewer.
They include a Referral Request (if your patient was referred to you), a Pre-Visit Questionnaire Report (if your patient completed the Pre-Visit Questionnaire), a Health Summary that gives you an up-to-date picture of your patient's health, including: their complaints, past illnesses and surgeries, chronic illnesses, the medications they actually are taking and those previously prescribed, their allergies and immunizations, and a list of all care providers seen in the previous six months along with their complaints, and the Encounter Summary for you to use to document your patient's visit.
Step 2: Examine and treat your patient as you normally do. As needed, sort, search and read your patient's records on their MedKaz. Record your progress notes as usual.
Step 3: Document the visit so it can be loaded on our patient's MedKaz. How you do this depends upon how you keep your patient charts. Accommodating your patient's MedKaz should not disrupt your workflow or procedures.
- If you keep paper charts and do not have a computer, print out these documents, work with them in paper form, and place them in your patient's chart. Also include your progress notes. Your assistant can then fax or mail copies of them to HRC (see below for address and fax number). We will process and download them onto your patient's MedKaz.
- If you keep paper charts and have a computer in your office or exam room, you can work with them on your computer and save them on your patient's MedKaz. Your assistant can print them out, add a copy of your progress notes, and fax or mail all of them to HRC for processing.
- If you have an EMR system, work with these documents on your computer. Your assistant can print them out, combine them with printouts of your progress notes and a CCD documenting the encounter (if your computer can generate one), and send the package of documents to HRC for processing.
Step 4: Click on the Forms menu bar at the top right of a MedKaz window and select HIPAA Release. When it opens in the Document Viewer, click Print. Ask your patient to sign it authorizing you to send their records to HRC for processing.
Step 5: Assemble copies of all documents relating to your patient's visit, including a completed Encounter Summary, and send them to HRC for processing. They can be faxed or mailed:
