MedKaz System Components

The MedKaz System includes three components:

The MedKaz

The MedKaz is a portable electronic storage device that contains copies of a patient's complete medical record from all their providers, personal information entered by the patient, and the applications to manage them. It is a distinctive looking flash drive that plugs into a computer's USB port. It works on all computers regardless of whether they run Windows, Linux, or Macintosh operating systems.

The MedKaz stores your patient's records in easy-to-use tables accessible through buttons and tabs. Using its powerful sort and search functions, you can identify, open and read copies of your patient's actual medical records containing detailed information about specific prior illnesses, conditions, tests, diagnoses and treatments.

Most importantly, the MedKaz is safe and secure. All registered providers and patients receive a free copy of Norton Antivirus that constantly checks every file accessed on the MedKaz for viruses and malware. With the exception of limited information required by emergency providers, all information is encrypted and requires the patient's password to access it.

The MedKaz has three different user interfaces that determine what you can see and do on the device. The one you see is determined by how you log on: as the patient, as the provider, or as an emergency responder.

When you dispense or update a MedKaz, you load copies of your patient's records on it, but you retain your original records in your system, whether electronic or paper. Once a patient's records are digitized and loaded on their MedKaz, they also are downloaded and stored on your MedKaz Patient Record Manager (PRM) so you can access, search, and manage them electronically even when your patient is not present.

Each time you see a patient, your assistant uploads records for that encounter to the MedKaz Server where they are digitized, verified by your assistant, then downloaded to your patient's MedKaz. A copy also is sent to your PRM. HRC pays you a fee for each such upload. Guest providers are encouraged to sign up as HRC Licensees so they also can receive payment for updating their patient's MedKaz and a free PRM that will enable them to electronically manage copies of their digitized patient records.

Your patient owns and controls their MedKaz and they are responsible for bringing it to all their healthcare appointments. Access is password-controlled to two levels, though basic information is accessible to Emergency Responders if the patient is unable to enter their password.  An audit trail is kept so your patient can identify everyone who has accessed their MedKaz, when, the records they looked at, and any documents or data that were changed.

The MedKaz Server and Portal

The MedKaz Server is the heart of the system. Together with the web portal, the Server provides the flexibility and behind-the-scenes magic that make the MedKaz System unique, so easy to use, and so powerful.

It is secure and performs many important functions. First and foremost, it processes records and reports uploaded to it, thereby making them portable and electronically sortable, searchable, and readable by care providers and patients alike. It also manages the flow of documents and information between a provider's office and a patient's MedKaz, and vice versa.

In contrast to other systems, patient records in the MedKaz System are not stored permanently on the MedKaz Server; they are erased after they have been downloaded to your patient's MedKaz and your PRM.

You and your assistant can access the Server from your patient's MedKaz, your PRM, or directly from your computer.

Patient Record Manager (PRM)

The PRM is a powerful but easy to use electronic medical record application that allows care providers to gain the benefits of electronic storage, search, and retrieval while still keeping paper records. You install it on your computer and it's automatically updated with a digital copy of every record you load on your patients' MedKaz devices. Think of it as an EMRElectronic Medical Record-Lite that resides on your computer.

With it, you can search both individual patient records and all of your patients' records for specific information – a capability not available today in the most powerful EMR systems. For example, you can easily and quickly identify which of your patients are affected by a drug or device recall, a disease alert, or an update relating to a specific illness.

Most importantly, the PRM helps you meet many of the Stage 1 Meaningful Use requirements the Federal government has established, well ahead of providers who have elaborate EMR systems. Meeting these requirements as quickly as possible - even if you are not seeking government subsidies at this time - will enable you to coordinate your patients' care with their other providers, and improve the quality of care you provide.
